What You Will Need
Before you start, gather the following:
- A QueueFlow account (free 15-day trial — no credit card needed)
- One smartphone or tablet for the staff counter page
- A printer to print the customer QR code (A4 or A5 is fine)
- Optionally: a TV or monitor in your waiting area for the live display
That is everything. No hardware, no app downloads for customers, no IT setup.
Step 1: Create Your Account
Go to queueflow.app/auth and sign up with your email. You will be asked to confirm your email before continuing. The process takes under two minutes.
Step 2: Set Up Your Branch
After signing in, you will be taken to the onboarding flow. Enter your business name, select your country and timezone, and create your first branch. A "branch" is a physical location — if you have one shop, you have one branch. Multi-location businesses can add additional branches later.
Step 3: Create Your Services
A "service" is the type of work a customer can queue for. Examples:
- Clinic: General Consultation, Follow-Up, Blood Test, Pharmacy
- Bank: Account Opening, Loan Enquiry, Cash Deposit, General Enquiry
- Salon: Haircut, Colour, Treatment, Nail Service
Add each service with a name and estimated duration. The duration is used to calculate wait time estimates shown to customers.
Step 4: Create Your Counter
A counter is a serving station — a desk, chair, or booth where a staff member serves customers. Assign the services that counter handles. A single counter can handle multiple services. Click "Open" on the counter to launch the staff page on your tablet or phone.
Step 5: Print the QR Code
Go to your branch settings and find the customer QR code. Download it as a PNG or PDF. Print it on A4, laminate it if possible, and place it at your entrance — near the door, on the reception desk, or on a stand in the waiting area.
The QR code URL is permanent. You can print as many copies as you like and place them anywhere — multiple entrances, your website, your Google Business profile.
Step 6: Test the Flow
Scan the QR code with your phone. You will see the customer queue page — enter a name, select a service, and join. On your counter tablet, you should see the token appear in the waiting list. Tap "Call next" to call the token. The customer's phone will update in real time.
Step 7 (Optional): Set Up the Lobby Display
If you have a TV or monitor in your waiting area, open the display URL from your branch settings on any browser connected to that screen. The display shows the currently serving token and the next few in line — no login required, it refreshes automatically.
Step 8 (Optional): Add Employees
If multiple staff members serve customers, add them under the Employees section. Each employee gets a login code and PIN. When they open the counter page, they select their name and enter their PIN — the system then tracks which staff member served which customer. This data appears in your reports.
Common Questions
What if a customer does not have a smartphone? Your staff can manually add a token from the counter page. Click the "+" button, enter the customer's name and service, and the system creates a paper-equivalent token.
Can customers book appointments in advance? Yes — Pro and Premium plans include online appointment booking with optional deposits. Appointments are automatically converted to queue tokens at the scheduled time.
How many counters can I have? Unlimited on all plans. The Basic plan supports one branch; Pro and Premium support multiple branches.
